Personal Assistant and Office Manager VARA

About Virgin Australia Regional Airlines (VARA)

VARA operates out of Perth Airport and has a fleet of F100 and A320 aircraft that predominantly conduct charter operations throughout regional Western Australia. VARA is on a growth path and has a strong focus on supporting our major clients in the mining industry - the future is exciting!

What you’ll be doing:

As a Personal Assistant/Office Manager, you will provide a wide variety of administrative and personal support to the Executive General Manager and leadership team of VARA. You will be responsible for key tasks such as diary management, travel planning, dissemination of information, record keeping, implementing and managing systems and processes, and general administrative assistance. This role is also responsible for management of the Perth CBD office.  This is a busy and diverse role

Due to the nature of this position, we will require the successful candidate to primarily work from our Perth office.

In this role you will be responsible for:

  • Diary management and coordination of business appointments, including scheduling, booking of meeting rooms, etc
  • Manage travel and accommodation requirements for the leadership team as required and organise travel needs for clients/guests as required
  • Process accounts and prepare expense claims, including raising purchase orders and reconciling invoices
  • Coordinate the flow of communication for board reports and information to teams
  • Prepare incoming/outgoing correspondence
  • Prepare and distribute agendas and minutes of a variety of team meetings and other leadership meetings, including following up on action items.
  • Prepare and format presentations and documents
  • Organise events including workshops, executive team visits, team social gatherings
  • Contribute to the development and implementation of continuous improvement initiatives
  • Organise customer and supplier meetings and events
  • Co-ordinate building facilities management for Perth CBD office
  • Co-ordinate technology maintenance and provision with the IT team
  • Ensure CBD office sufficiently supplied with essential provisions i.e. stationery
  • Various office management tasks including mail co-ordination and distribution

You’ll be great in this role if you:

  • Have been a Personal or Executive Assistant for at least three years
  • Come with exceptional time management and organisational skills,
  • Strong attention to detail
  • Enjoy working in a fast-paced environment with constant change
  • Have proven experience building relationships with key internal and external stakeholders
  • Are proficient in MS office suite of programmes
  • Have strong verbal and written communication skills.
