Legal and Risk Operations Paralegal

This is a unique opportunity for an experienced paralegal, administrative assistance or office coordinator to join the Virgin Australia Legal Team as a Legal Operations Coordinator providing services primarily for the Legal and Risk division. The Legal and Risk division reports to the Chief Legal and Risk Officer and provides legal, compliance and risk advisory services and operates the internal audit internal audit function for the Virgin Australia Group.

 

The objective of the Legal and Risk Operations Paralegal  is to effectively coordinate the key functions of the Legal and Risk division of the Virgin Australia group, including by providing high quality and efficient administration and operations support, assisting with legal tasks and key reporting deliverables, and driving process improvement initiatives for the division, including through the use of technology. The successful candidate will have excellent attention to detail, exceptional time management and organisation skills and advanced knowledge of Microsoft Office programs.

Virgin Australia Group is a major Australian airline headquartered in Brisbane, Australia. The company operates scheduled domestic and short-haul international flights, charter and cargo services, and the award-winning loyalty program Velocity Frequent Flyer. The Group has been in the Australian aviation landscape for more than 20 years. The company is now embarking on an exciting new chapter in the  next stage of our journey. In  September 2020, US private equity firm Bain Capital acquired Virgin Australia in a $3.5 billion deal. The airline has now re-launched as a mid-market carrier with a renewed focus on small and medium sized businesses, price-sensitive corporates, premium leisure travellers and holiday makers.
 
 
Since November, Virgin Australia has been working on a plan to set itself up for future success. The Group has worked to ramp up flying, simplified its organisational structure, confirmed plans for 25 new 737 aircraft to renew and grow the fleet, and signalled deeper investment in technology and customer experience.

 

Key responsibilities:

  • Supporting the division with key reporting deliverables by compiling the division’s activities over reporting periods into summary reports suitable for Board, executive and committee reporting
  • Using innovative techniques to explain complex issues in a digestible form for reporting purposes (ie, infographics)
  • Analysing reporting data to assist with budget planning and ongoing budget management for the Legal and Risk division
  • Assisting in the maintenance of key registers/databases and extracting data from those mediums for reporting purposes
  • Developing and driving process improvement initiatives to create efficiencies within the Legal and Risk division, including through the use of technology
  • Providing research-driven and experienced-based input into the development of the Legal and Risk division’s technology roadmap and managing existing technology initiatives and systems utilised by the division.
  • Developing and supporting programs that promote collaboration and knowledge sharing across the Legal and Risk division
  •  Providing support in the management of Legal service providers to optimise efficiency and reduce spend while ensuring quality of services
  • Coordinating updates to the Legal and Risk division’s intranet pages and assisting with the development of resources and tools to improve business stakeholders’ self-service capability.
  • Coordination of Legal team and division meetings, functions and professional development events
  • Supporting the Legal team by undertaking legal research tasks and responding to subpoenas and other requests for information.
  • Managing centralised work flow email inboxes and coordinating allocation of work to the Legal team
  • Providing diary/calendar management support to senior leaders
  • Document management, including generating, editing and formatting Legal correspondence and documents
  • Maintaining safe custody of legal documents
  • Champion engagement with the Legal and Risk division and doing the right thing across the Virgin Australia Group

 

What we're looking for:

 

  • Previous legal secretarial, paralegal, administration or office co-ordination experience
  • Experience working in Legal Operations
  • Working within a high pressure and frequently changing environment
  • Multi-tasking and working to deadlines
  • Exceptional time management and organisation skills
  • Exceptional attention to detail
  • Strong interpersonal skills
  • Ability to provide outcomes focused and strategic advice
  • Ability to work independently and use initiative
  • Proven ability to interact with multiple stakeholders as well as stakeholders at all levels of the organisation
  • Intermediate full MS Office Suite Skills, including uses of database management systems as well the use of Visio
